All-Hands Team Meetings and Sprint-Related Communication

Because of the varied time zones, we will use asynchronous means of completing many of the sprint rituals that normally take place during synchronous meetings.

Sprints will begin with Sprint Planning
- By EOD every other Wednesday, each team will post what their team hopes to prioritize/work on/accomplish during the upcoming sprint (your initial goals)
- All of the other teams will read these posts and can make comments/ask questions by EOD the next day (Thursday)
- Teams can later modify their sprint goals, based on comments from others and from anything we learn in the demo & retro
- We will discuss questions, suggestions, etc. and settle on sprint priorities in a synchronous Sprint Planning Meeting every other Monday (and be sure to communicate decisions with those who couldn’t attend)
Sprints will end with a Demo and a Retro
- Demo (Demonstration)
  - By EOD every other Thursday, each team will post an update demonstrating their progress during that sprint. This can include text, documents, images, and/or short videos using Loom.
  - All of the other teams will read these posts and give feedback/ask questions using comments and/or Looms
    - Teams should reply to demo questions via reply comments and/or Looms, if possible. But this could also happen in Discord or during meetings, if needed (as long as the answers are communicated to everyone who needs to know).
- Retro (Retrospective)
  - By EOD every other Thursday, each team member will add their comments to a Retro Board, provided by the PM team, answering the questions “What worked?”, “What didn’t?”, and “What should we do differently?”
  - We will use the Retro Board to vote on solutions to problems, if needed. We will discuss conclusions from the retro at the Sprint Planning meeting and on Discord.
  In some cases, we may need to make alternative arrangements to solicit client feedback asynchronously instead. Please share with the Lead PMs any documents you want to submit for client feedback by EOD Thursday each week.
If needed, we will also have a synchronous meeting on a Thursday or Friday to realign the teams and discuss any issues or blockers.

Sub-Team Meetings

Each sub-team (PM, Product, UXD, UXR, UXW, SA) should also have a weekly meeting to plan the team’s work, assign tasks, problem-solve, etc. This can take place at any time throughout the week and is scheduled by the sub-team Leads.

Client Meetings

All client meetings will be arranged by the Lead Project Managers. The clients are available for meetings on Mondays at 3:30-4:30 PM ET only. Please speak with the Lead PMs (Ava and Lainu) if your team needs to meet with the clients, and we will do our best to make it happen.
