Reflections on Phase 2

What were some blockers that your team faced and how might the next team avoid such things? Realizing that Lalich Phase 2 was the first phase to bring in PM apprentices on this project and that this role wasn’t fully fleshed out. Both leads and apprentices were unsure what tasks to give apprentices/how they can contribute
We also needed more XF input. There was miscommunication between teams or sometimes, one team would be entirely out of the loop of what was happening in other teams/the project
What would help the next team is continue facilitating leads, retro, and pm regular meetings. Better understanding of what’s happening during the project/better sense of camaraderie between PM team and other teams
Also becoming more involved in the project by regularly using a task management system.
Looking back, are there changes you would have made to the way things were done with your team, collaborating with other teams, etc? Scheduling more meetings.

Recommendations for Phase 3

in order of most prioritized to least, in our opinion

What Why
Content, Design, and Development leads need to meet ASAP Lalich Center was not happy with the final product delivered at the end of Phase 2. The changes need to be made immediately at the beginning of Phase 3.
Choose one Task Management System and stick to it We were using the Kanban board in Notion but the teams were not all using it. We recommend either Trello or Jira since it’s a skill most companies look for and it’s easier to view all the different tasks from every time all at once.
Have an all-leads team meeting during Week Zero Make sure everyone is on the same page and aligned on goals, especially PM and Strategy.
Hold a meeting for all project members at the end of Week Zero Make sure leads and apprentices are all on the same page, troubleshoot any issues with login for various software, do Q&A for apprentices/people new to either Lalich Center or Tech Fleet or both.

Connect with every team member, setting the expectations, and creating an atmosphere that is welcoming and supportive. | | Set up weekly leads meetings | Avoid miscommunication and stay informed on what other teams are doing. | | Dedicate some time solely to working on handoff documentation during weekly Retros | The PM Leads and our teams ended up writing the handoff documentation at the very end on crunch time and even going past the project end date because we didn’t make the time for it. I recommend having time for this during retro while the things you did during the sprint are still fresh in your mind. |
